Job Summary

As an Experienced Administrative Assistant - Customer Service Representative at blithequark, you will play a vital role in supporting the daily operations of our office. Your primary responsibilities will include fielding inbound communications, coordinating scheduling, organizing internal resources, and facilitating executive-level operations. You will be the first point of contact for our office guests and will be responsible for communicating policies and procedures to our team members.

Key Responsibilities

* Field inbound communications: + Answer phone calls and respond to general email inquiries in a timely and professional manner + Route communications to the appropriate internal parties as needed

  • Coordinate scheduling:

+ Set up meetings based on cross-functional availability for both internal and external stakeholders + Ensure seamless coordination of meetings and events

  • Organize internal resources:

+ Build out and maintain processes to keep files and office supplies organized and easily accessible + Develop and implement efficient filing systems and inventory management

  • Liaise with visitors:

+ Act as the point person for office guests and ensure a warm welcome + Coordinate visitor parking, accommodations, and other logistical needs

  • Communicate policies and procedures:

+ Alert employees of new processes, rules, and regulations + Develop and disseminate clear and concise communication materials

  • Facilitate executive-level operations:

+ Book travel arrangements and submit expense reports for high-level staff as needed + Send communications on behalf of executive-level staff

Requirements

* High school diploma or equivalent required

  • 1-2 years of experience as an administrative assistant, secretary, or receptionist preferred
  • Strong organizational, communication, and time-management skills
  • Proven ability to work in a fast-paced environment
  • Positive, high-energy attitude
  • Resourcefulness, creativity, and problem-solving skill set
  • Familiarity with office equipment (i.e., printers, fax machines, projectors)
  • Proficiency in Microsoft Office (especially MS Excel and PowerPoint)

Essential Qualifications
