Operations Manager (Real Estate, Tech + Agency)
Long-Term, 30 hrs/week | Real Estate + CRM SaaS Company | Project Management + Leadership Role ⸻ ABOUT Our Company We are a fast-growing real estate technology and support company built on top of the GoHighLevel (GHL) platform. We support real estate agents, teams, and brokerages with:
- CRM management
- Lead generation workflows
- Automation systems
- ISA support
- Social media + marketing services
- Training + coaching
- Done-for-you operations
We’re building an in-house operations team to replace outsourced pods and create a smooth, unified system for our clients. We are looking for an Operations VA (COO-Lite) who can act as the CEO’s right hand… directing the team, managing workflow, building SOPs, and keeping the company running smoothly. ⸻ POSITION OVERVIEW This role is ideal for someone with experience in:
- Project management
- Team coordination
- SOP creation
- CRM (preferably GHL)
- Agency operations
- Fast-moving, multi-department environments
You will work closely with the CEO to manage all internal operations, support multiple departments, and ensure that work is delivered on time and at a high level. This is a leadership VA role — not a task-based assistant position. ⸻ KEY RESPONSIBILITIES 1. Project & Task Management (ClickUp)
- Manage the entire ClickUp workspace and ensure tasks move through each stage
- Assign tasks to team members (video editor, ISA lead, CRM support)
- Follow up daily to ensure deliverables are on track
- Track progress, deadlines, and quality
2. Team Communication & Oversight
- Run daily stand-ups with the VA team
- Communicate expectations and priorities clearly
- Monitor Slack and keep conversations organized
- Reduce back-and-forth by gathering all needed info up front
3. Standard Operating Procedures (SOPs)
- Build new SOPs for:
- ISA workflow
- CRM support processes
- Client onboarding
- Internal management systems
- Knowledge Base documentation
- Update and maintain existing SOPs
4. CEO Support (High-Level)
- Help organize and delegate projects
- Convert ideas and voice notes into actionable tasks
- Serve as the first point of contact for team questions
- Anticipate needs and keep the organization running efficiently
5. CRM & Technical Coordination (No advanced coding required — just familiarity)
- Understand basic functions of GoHighLevel / FlowSper
- Work with CRM Support VAs to manage:
- Tickets
- Client issues
- Workflow changes
- New feature rollouts
- Review Knowledge Base updates for accuracy
6. Quality Control & Process Improvement
- Review work before it goes to clients
- Identify bottlenecks and fix system issues
- Keep documentation and dashboards updated
⸻ REQUIREMENTS Must-Have Skills
- Strong project management experience
- Experience managing teams or multiple VAs
- Excellent English communication
- GoHighLevel familiarity (or similar CRM: HubSpot, Salesforce, KVCore, Follow Up Boss, etc.)
- Detail-oriented and systems-minded
- Comfortable in a leadership role
- Strong documentation skills (SOP writing)
- Experience with ClickUp, Trello, Asana, or Notion
Bonus (Not Required)
- Real estate industry experience
- Experience in SaaS or agency operations
- Ability to create simple Loom tutorials
- Familiarity with automation workflows
⸻ HOURS & AVAILABILITY
- 25–30 hours per week
- Must attend a daily meeting (M–F)
- Flexible hours otherwise
- Long-term position (12+ months)
⸻ COMPENSATION
- $6–$8 per hour (based on experience)
- Room for promotion to full Operations Manager or COO as our company scales
