Job Summary

We are seeking a skilled and experienced Virtual Receptionist and Data Entry Clerk to join our administrative team on a full-time basis. As a Virtual Receptionist and Data Entry Clerk, you will be responsible for providing administrative support to our IT department, including managing mail and internal correspondences, setting up meetings, and maintaining office supplies. You will also be required to provide reception desk coverage, answering phones, directing visitors, and issuing and deactivating employee and visitor badges. If you have a strong passion for delivering exceptional customer service and are proficient in Microsoft Office Suite, we want to hear from you.

Key Responsibilities

  • Maintain full knowledge of IT department structure, including leaders and teams
  • Sort, scan, and distribute mail and internal correspondences throughout the arenaflex campus and satellite locations
  • Manage postage, mail accounts, and incoming and outgoing mail
  • Ensure office supplies and common areas are stocked, clean, and organized
  • Set up IT meetings and remove setup once the meeting convenes
  • Create and replace ID badges for IT employees
  • Provide reception desk coverage, including answering phones, directing visitors, and issuing and deactivating employee and visitor badges
  • Perform all assigned tasks accurately, efficiently, and in accordance with applicable policies and procedures
  • Comply with arenaflex privacy and security requirements and policies if job responsibilities include possible access to confidential and/or sensitive information
  • Other duties as assigned

Essential Qualifications

  • High School Diploma or GED required, or a combination of education and experience providing equivalent knowledge
  • Excellent verbal and written communication skills
  • Ability to prioritize and work under strict deadlines
  • Ability to work both independently and within a team environment
  • Ability to stay organized and multi-task efficiently
  • Proficient in Microsoft Office Suite
  • Proficiency in typing and data entry

Preferred Qualifications

  • Previous experience in an administrative support role, preferably in a virtual or remote setting
  • Knowledge of IT department structure and operations
  • Experience with mail management and distribution
  • Strong customer service skills and ability to provide prompt and courteous service
  • Ability to interpret and apply company policies and procedures
