Responsibilities

As a Remote Customer Service Representative at arenaflex, you'll play a critical role in providing exceptional customer experiences and ensuring the timely and accurate resolution of medical record requests. Your responsibilities will include:

  • Answering incoming phone calls and receiving on-site visitors in a professional and courteous manner
  • Responding to phone calls and email inquiries regarding medical record requests, including record status, concerns, issues, and other related matters
  • Conducting thorough research of patient record information and medical records to resolve issues and provide accurate information to clients
  • Maintaining quality and production standards as defined by client contract and/or management determination of the need
  • Managing time effectively to ensure proper turnaround for all tasks, including customer service requests, follow-up, and feedback
  • Collaborating with teammates and managers to ensure the needs of our clients are being met and exceeded
  • Assisting in the development of process improvement initiatives to enhance our services and operations
  • Communicating with clients, internal staff, vendors, and arenaflex through various communication channels, including phone, fax, physical mail, and email
  • Responding to client requests in a timely and professional manner
  • Organizing and releasing records via email, physical mail, and fax

Requirements

To succeed in this role, you'll need to possess the following qualifications and skills:

  • Training and Compliance: Successfully complete all training programs as required, including HIPAA Privacy and Security guidelines, to ensure confidential handling of protected health information
  • Analytical Decision-Making: Execute prompt analytical decision-making and research with specific attention to detail
  • State Laws and Company Procedures: Comply with State laws, policy, and company procedures
  • Phone Call Production Tracking and Reporting: Utilize specified phone call production tracking and reporting procedures
  • Communication and Customer Service Skills: Possess excellent communication and customer service skills to assist clients via phone and email
  • Computer and Keyboarding Skills: Demonstrate excellent computer and keyboarding skills
  • Corporate Proprietary Software and 3rd Party Tools: Learn and use corporate proprietary software and/or 3rd party tools
  • Multitasking and Critical Thinking: Showcase a strong ability to multitask and demonstrate critical thinking skills
  • Experience with Google Suite, Microsoft Word, and Excel: Possess experience working with Google Suite, Microsoft Word, and Excel
  • HIPAA, Release of Information, and Medical Records Experience: Experience with HIPAA, the Release of Information process, medical records, and/or physician practice operations is highly preferred

Essential Qualifications

* High school or equivalent (Required)

  • 1 year of customer service experience (Required)
  • Ability to work in a remote environment with minimal supervision
  • Strong communication and interpersonal skills
  • Ability to work in a fast-paced environment with multiple priorities
  • Strong analytical and problem-solving skills
  • Ability to maintain confidentiality and handle sensitive information

Preferred Qualifications

* Experience working in a healthcare or medical records environment

  • Knowledge of HIPAA and Release of Information processes
  • Experience with corporate proprietary software and/or 3rd party tools
  • Strong computer and keyboarding skills
  • Ability to work in a team environment and collaborate with colleagues
