Job Overview

As a Customer Service and Dispatch Representative at arenaflex, you will be the primary point of contact for our customers during weekend after hours, handling a wide range of customer service requests, appointment bookings, and resolving customer complaints and billing inquiries. Your goal will be to provide one-call resolution to customer issues, ensuring that our customers receive the highest level of service and support. You will be an integral part of our team, working closely with other departments to ensure seamless operations and exceptional customer experiences.

Key Responsibilities

  • Answer incoming phone calls from customers and assist with their queries or route calls to the appropriate person
  • Maintain good customer relations by providing professional and courteous service
  • Handle and resolve a variety of customer concerns, complaints, and questions via phone, email, chat, or other communication channels
  • Resolve problems by clarifying issues, researching, exploring answers and alternative solutions, implementing solutions, and escalating unresolved issues as needed
  • Maintain customer records by updating account information and ensuring data accuracy
  • Accurately disposition calls and maintain records of customer interactions
  • Continually maintain working knowledge of all arenaflex products, services, and promotions to provide informed support to customers
  • Work to improve accuracy in scheduling and speed of response to customer queries
  • Demonstrate reliable attendance and on-time job performance, with the ability to work evening and weekends as required
  • Perform similar or other duties as needed or assigned to support the team and ensure exceptional customer experiences

Essential Qualifications

  • High school diploma or equivalent with at least 1 year of experience working in customer service or another customer-facing environment
  • Experience or training in the use of computers and related systems in an administrative office environment
  • Excellent customer-service, communication, and interpersonal skills, with the ability to communicate effectively with customers, co-workers, and management
  • Ability to multi-task and work effectively in a fast-paced and constantly changing work environment, with no loss in efficiency and effectiveness
  • Effective organizational and time-management skills, with the ability to prioritize work based on service demands
  • Ability to make decisions based on established guidelines and procedures, with the confidence to empower customer satisfaction

Preferred Qualifications

  • Understanding and knowledge of the HVAC/Refrigeration Industry, or a related field
  • Previous experience working in a dispatch or customer service role, with a focus on delivering exceptional customer experiences
  • Training or certification in customer service, communication, or a related field
