Software Asset Management Associate Strong focus on end-user software lifecycle management. In this role, you will own and continuously improve how employees request, receive, and use software: from intake through our software request portal, to provisioning and renewals, to resolving day-to-day access and license issues. You will work closely with IT, Procurement, Security, and business stakeholders to ensure that our end users have the tools they need, while we stay compliant, efficient, and cost-effective.

Key Responsibilities

End User Software Request Management

  • Own the software request process from submission to fulfillment, ensuring a smooth, intuitive experience for end users.
  • Triage and review incoming requests for completeness, policy alignment, and appropriate approvals.
  • Coordinate with technical teams (e.g., endpoint, application, identity teams) to ensure timely delivery and installation of requested software.
  • Monitor SLAs and service quality, proactively addressing bottlenecks and recurring issues in the request workflow.
  • Support exception handling, including non-standard or high-risk software requests, working with Security and Compliance as needed.

Portal Management

  • Manage and optimize the software request portal / catalog, including application entries, descriptions, entitlement rules, and approval workflows.
  • Maintain up-to-date catalog content, ensuring that available software, versions, and license options are accurate and aligned with standards.
  • Gather feedback from end users to continuously improve usability, navigation, and clarity of the portal.
  • Provision users and optimize utilization on a continuous basis.

Renewal Management

  • Track and manage renewals for end user software subscriptions and licenses, ensuring continuity of service and avoidance of unplanned expirations.
  • Maintain an accurate view of license usage to support right-sizing and cost optimization at renewal time.
  • Coordinate with Procurement and Finance on renewal decisions, vendor negotiations, and purchase order processing.
  • Support compliance and audit readiness, ensuring proper documentation of license entitlements, renewals, and usage.
  • Entering Purchase Request and Manage Invoicing

End User Provisioning & Issue Resolution

  • Oversee end user software provisioning processes, including first-time assignment, reallocation, deprovisioning, and transfers between users or departments.
  • Serve as an escalation point for software access and entitlement issues that cannot be resolved via standard support paths.
  • Identify root causes of recurring provisioning issues and partner with technical and process owners to implement permanent fixes.
  • Develop and maintain knowledge articles, FAQs, and guidance for support teams and end users around software access and usage.

Data, Reporting, and Continuous Improvement

  • Use data and dashboards to monitor request volumes, cycle times, license utilization, renewal timelines, and user satisfaction.
  • Identify opportunities for automation and process improvement across request, provisioning, and renewal workflows.
  • Contribute to software asset management policies and standards, ensuring alignment with security, compliance, and architectural guidelines.

Qualifications

Required

  • Bachelor’s degree in Information Technology, Business, or related field; or equivalent practical experience
  • 3+ years of experience in Software Asset Management, IT Service Management, IT Operations, or related role
  • Hands-on experience with software request portals or service catalogs (e.g.,USU(Aspera), Flexera or ServiceNow)
  • Working knowledge of license models (subscription, perpetual, named user, device-based, etc.) and renewal processes
  • Demonstrated ability to analyze data, interpret trends, and make recommendations
  • Strong communication and stakeholder management skills, including comfort working with end users, IT, and vendors
