As a key member of our leadership support team, you'll have the opportunity to work closely with our Vice President of CS D2AS, supporting them in their daily tasks, and contributing to the success of our organization.

Key Responsibilities

As an Executive Assistant, you'll be responsible for handling confidential information and maintaining professionalism in dealing with senior executives. Your key responsibilities will include:

  • Managing multiple complex calendars, scheduling internal and external meetings, and coordinating domestic and international travel
  • Planning and organizing events of all sizes, ensuring seamless execution and follow-up
  • Coordinating travel bookings, handling expenses, and ensuring timely reimbursement
  • Multi-tasking during ad hoc projects, ensuring successful follow-up of action items and deadlines
  • Preparing documentation for meetings, including agendas, minutes, and follow-up actions
  • Overseeing the organization's Rhythm of the Business, ensuring alignment with company goals and objectives
  • Assisting with documentation and a variety of other day-to-day administrative tasks on behalf of the VP
  • Organizing the VP's agenda, ensuring the smooth-running of their work in an ever-changing environment where priorities can change rapidly

About the Team

Our CS D2AS team combines strategic thinking, technology expertise, and customer experience best practices to deliver seamless support experiences across Amazon's digital products. We focus on providing the right support at the right time, tailored to each customer's needs, and eliminating friction to enhance the overall customer experience.

Essential Qualifications

To be successful in this role, you'll need:

  • 3+ years of experience as an Executive Assistant, preferably in a fast-paced and dynamic environment
  • Proven track record of handling confidential information and maintaining professionalism in dealing with senior executives
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  • Strong communication and interpersonal skills, with the ability to build relationships with internal and external stakeholders
  • Proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint
  • Experience with calendar management and travel coordination tools, such as Concur or Expensify
  • Ability to work in a team environment, with a focus on collaboration and mutual support

Preferred Qualifications

While not essential, the following qualifications would be beneficial:

  • Experience working in a customer-facing role, preferably in a support or service environment
  • Familiarity with arenaflex's products and services, particularly in the digital support space
  • Certification in Executive Administration or a related field
  • Experience with project management tools, such as Asana or Trello
  • Fluency in multiple languages, particularly Spanish or Mandarin

Compensation, Perks, and Benefits
