Job Summary

As an Experienced Data Entry and Administrative Assistant, you will be responsible for providing exceptional administrative support to our food service programs. You will be the first point of contact for clients, ensuring that all inquiries are handled professionally and efficiently. Your attention to detail and organizational skills will be essential in maintaining accurate and up-to-date records, processing vendor invoices, and preparing financial reports.

Essential Duties and Responsibilities

* Answer telephones and direct inquiries in a professional and client-centric manner

  • Maintain confidential personnel files and assist management staff in preparing confidential employment and labor relations documents
  • Assist with staffing, including finding staff when employees call out on short notice
  • Work effectively and maintain good working relationships with co-workers, school personnel, administrators, student's parents, and Supervisor
  • Complete and maintain accurate and up-to-date records of students eligible for free and reduced-priced lunches, if applicable
  • Enter weekly cash sales and meal counts using computer
  • Perform daily bank deposit reconciliation
  • Process vendor invoices for payment, using computer, making sure addition is correct and checking item prices against bid specifications
  • Perform monthly vendor statement reconciliation
  • Prepare monthly state claim form for reimbursement
  • Assist in preparation of end-of-month financial reports
  • Attend in-service and/or safety meetings as required
  • Maintain a clean and safe work environment; ability to perform job safely
  • Perform other duties as assigned

Qualifications

* Office experience, data entry experience, and moderate computer literacy required

  • Willing to train and learn new skills
  • Excellent communication and interpersonal skills
  • Ability to work effectively in a fast-paced environment
  • Strong attention to detail and organizational skills
  • Ability to maintain confidentiality and handle sensitive information

Preferred Qualifications

* Previous experience in a healthcare or food service environment

  • Knowledge of financial software and systems
  • Experience with data entry and record-keeping
  • Strong analytical and problem-solving skills
