Overview The Human Resources Representative supports day-to-day HR operations for a fully remote, multi-state workforce. This role serves as a first point of contact for employee inquiries, assists with onboarding and offboarding, supports compliance and HRIS administration, and helps ensure a consistent, people-first employee experience aligned with VetClaims.ai’s mission and policies.

The Human Resources Representative plays a key role in supporting VetClaims.ai’s people operations in a fast-paced, fully remote environment. This position focuses on employee support, HR administration, compliance assistance, and coordination across the employee lifecycle. The ideal candidate is organized, detail-oriented, and comfortable working with sensitive information while supporting a mission-driven workforce.
Key Responsibilities
Employee Support & HR Operations
- Serve as a first point of contact for employee HR-related questions regarding policies, PTO, benefits, payroll coordination, and general guidance
- Assist with employee relations matters, documentation, and issue resolution, escalating concerns to HR leadership when appropriate
- Maintain accurate employee records and personnel files in compliance with federal and state regulations
Onboarding & Offboarding
- Coordinate onboarding activities, including offer documentation, I-9 verification, and HRIS setup
- Ensure timely completion of onboarding tasks and policy acknowledgments
- Support offboarding processes, including exit documentation, system access coordination, and final pay tracking
Compliance & Policy Support
- Assist with multi-state employment compliance (wage and hour laws, employee classification, leave requirements)
- Support the implementation and maintenance of HR policies, procedures, and employee handbook updates
- Assist with audits, investigations, and compliance documentation requests as needed
HRIS & Payroll Support
- Maintain and update employee information in the HRIS (Gusto preferred)
- Coordinate with payroll and finance teams to resolve payroll-related questions or discrepancies
- Track PTO, leave requests, and required HR documentation
Recruiting & Talent Support
- Assist with interview scheduling, candidate communication, and offer coordination
- Support background checks, onboarding paperwork, and hiring compliance requirements
- Help maintain job descriptions and recruiting documentation
Requirements
- Minimum of 2 years of experience in Human Resources, People Operations, or a related field
- Experience supporting remote and/or multi-state employees
- Working knowledge of HR compliance fundamentals (FLSA, I-9 verification, employee classification)
- Strong attention to detail and ability to handle confidential information professionally
- Excellent written and verbal communication skills
- Experience using HRIS platforms (Gusto preferred)
Desired Skills & Qualifications
- HR certification (aPHR, PHR, SHRM-CP) or actively pursuing certification
- Experience in healthcare, legal, compliance-driven, or veteran-focused organizations
- Familiarity with employee handbooks, SOPs, and policy administration
- Strong organizational and time-management skills
- Ability to work independently in a fully remote environment
