Job Summary
We are seeking an experienced and driven Executive Assistant to join our arenaflex team. This role will provide administrative support to two senior leaders in the Promoter Experience Group, managing complex schedules, meeting invites, and gathering room operations. The ideal candidate will have a strong background in executive support, with excellent organizational, communication, and problem-solving skills.
Key Responsibilities
As a Data Entry Remote, Virtual Assistant, your key responsibilities will include:
- Managing complex schedules, meeting invites, and gathering room operations
- Arranging global and domestic travel
- Handling cost reports
- Overseeing large event strategies, including catering, facilities, and materials
- Arranging space for the team and working with office moves
- Making everyone feel valued, recognizing exceptional efforts, and promoting a positive work environment
- Attending key meetings, following up on key expectations, and circulating back to exceptional items
- Driving team activities (e.g., staff meeting plans, team-building events, launch events, and team recognition)
- Managing work processes that require approvals
- Identifying internal and external ways to address issues in an innovative manner
A Day in the Life
As a Data Entry Remote, Virtual Assistant, every day will be unique, but a typical day will include:
- Managing a high volume of emails
- Working with other Chief Colleagues to plan complex meetings
- Collaborating closely with leaders and their colleagues on projects and initiatives
About the Team
The Promoter Experience (Hatchet) group at arenaflex builds global marketing experiences that enable Amazon Advertisements to become a preferred partner of any advertiser. We serve thousands of external and internal clients: advertisers (dealers, merchants, creators, entertainment makers, partners, and offices) and manufacturers (Amazon groups and external integrators) - whether the products, brands, or services they promote are available directly from Amazon or not.

Essential Capabilities
To be successful in this role, you will need:
- 2+ years of senior-level administrative support experience, or 1+ years of experience at arenaflex
- High school diploma or equivalent
- Experience with Microsoft Office products and applications
- Experience with leader-level scheduling and management
Preferred Capabilities
While not essential, the following skills and experience would be highly valued:
- Experience in a fast-paced, cutting-edge organization
- Experience managing multiple schedules
