eProcurement Assistant Job Details | Shared Services Partnership

Hampshire County Council is seeking a motivated and detail-focused eProcurement Assistant to join their Strategic Procurement team. The role involves supporting the delivery of competitive tendering and contract award processes, managing procurement activities efficiently and transparently, and ensuring compliance with relevant legislation.

Responsibilities

  • Using information provided by Procurement Officers and our clients, you will set up and publish tender opportunities within the e-tendering platform
  • Coordinate supplier communications, including tender clarifications, ensuring timely and accurate responses
  • Manage and resolve supplier system queries effectively, communicating with appropriate stakeholders where required
  • Monitor and respond to enquiries via the procurement shared mailbox and support line
  • Prepare electronic contract documentation for submission to Legal Services
  • Produce audit and activity reports, maintaining accurate system records
  • Analyse information relevant to a particular procurement, and make recommendations for action
  • Ensure compliance with the Council’s Contract Standing Orders, systems and procedures
  • Provide support advice and guidance to managers and stakeholders
  • Research and respond to customer queries
  • Build and maintain strong working relationships, both internal and external

Skills

  • Experience delivering a broad range of administrative tasks
  • Strong IT skills, including proficiency in Office 365 (Word, Excel, Outlook, Teams)
  • Confidence in learning and using new IT systems
  • Excellent attention to detail and accuracy in data input and fulfilling requests
  • Strong communication skills, with the ability to engage effectively at all levels
  • The ability to prioritise workloads and meet deadlines in a sometimes fast-paced environment
  • A proactive approach to problem-solving and decision-making
  • A team-focused mindset with a positive, supportive attitude
