Position Overview

We are currently seeking a full-time Online Customer Chat Specialist – Youth Services Support & Engagement Associate to join our dynamic and mission-driven team. In this role, you will serve as the digital frontline representative for arenaflex, providing exceptional customer service and support to clients, partners, and community members through online chat platforms. Your primary responsibility will be to engage with individuals seeking information about our programs, answer questions, resolve concerns, and guide them toward the resources that can change their lives.

This is not a typical customer service role. As a Chat Specialist at arenaflex, you will be the first point of contact for youth, families, case workers, and community partners who are reaching out for help during some of the most critical moments of their lives. Your ability to provide compassionate, accurate, and timely support will directly impact the well-being and success of the young people we serve.

Key Responsibilities

Customer Engagement and Communication

  • Monitor and respond to customer inquiries in real-time through online chat platforms, ensuring prompt and professional engagement with every interaction.
  • Provide accurate, helpful, and empathetic information about arenaflex programs, services, eligibility requirements, and application processes.
  • Serve as the digital voice of arenaflex, maintaining a warm, supportive, and professional tone that reflects our mission and values.
  • Handle multiple chat conversations simultaneously while maintaining attention to detail and quality of service.
  • Escalate complex or sensitive issues to the appropriate team members or departments in a timely manner.

Problem Resolution and Support

  • Solve customer problems efficiently and effectively, demonstrating strong critical thinking and resourcefulness.
  • Resolve issues related to program enrollment, service access, technical difficulties, and general inquiries.
  • Follow up with customers to ensure their concerns have been fully addressed and their needs have been met.
  • Document all customer interactions, issues, and resolutions accurately in our customer relationship management (CRM) system.

Sales and Service Promotion

  • Identify opportunities to upsell and cross-sell additional arenaflex programs, services, and resources that may benefit customers.
  • Promote upcoming events, workshops, training programs, and community initiatives to relevant audiences.
  • Encourage program participation and engagement by highlighting the value and impact of arenaflex services.

Reporting and Documentation

  • Track and report customer interactions, trends, and feedback to help improve service delivery and inform organizational decision-making.
  • Maintain detailed records of inquiries, resolutions, and customer feedback in accordance with arenaflex policies and procedures.
  • Generate weekly and monthly reports summarizing chat volume, response times, customer satisfaction scores, and common issues.
  • Identify recurring themes or concerns and communicate them to management for continuous improvement.

Collaboration and Teamwork

  • Work closely with program coordinators, case managers, and other team members to ensure seamless service delivery.
  • Participate in regular team meetings, training sessions, and professional development opportunities.
  • Contribute to a positive, collaborative, and supportive team environment.

Essential Qualifications and Requirements

  • Education: High school diploma or equivalent required. Associate's or bachelor's degree in communications, social work, human services, business, or a related field is preferred.
  • Communication Skills: Excellent written and verbal communication skills with a strong command of grammar, spelling, and professional tone. Ability to communicate with empathy, clarity, and professionalism.
  • Technical Proficiency: Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Familiarity with PLM (Product Lifecycle Management) systems and SAP basis is highly desirable.
  • Customer Service Experience: Previous experience in customer support, client services, or a related field. Experience in nonprofit, social services, or youth-focused organizations is a plus.
  • Problem-Solving Skills: Strong analytical and problem-solving abilities with a solutions-oriented mindset.
  • Independence and Teamwork: Ability to work independently with minimal supervision while also collaborating effectively as part of a team.
  • Pressure Management: Ability to work under pressure, manage multiple priorities, and maintain composure in challenging situations.
  • Attention to Detail: Strong organizational skills and meticulous attention to detail.
  • Empathy and Compassion: Genuine passion for helping others and making a positive impact in the community.

Preferred Qualifications

  • Bilingual abilities (Spanish/English) strongly preferred, given the diverse population served in South Florida.
  • Experience with live chat software, CRM platforms, or ticketing systems.
  • Knowledge of foster care, youth services, or community resource navigation.
  • Familiarity with trauma-informed care principles and practices.
  • Previous experience working with vulnerable populations or in a mission-driven environment.
