As a leader in the healthcare nutrition market, arenaflex is experiencing hyper‑growth, and we are looking for dedicated professionals who share our commitment to improving quality of life, one meal at a time.

Why This Role Matters

The Bilingual English‑Spanish Customer Service Representative is the vital first point of contact for our Spanish‑speaking clients. You will guide them through the ordering process, answer their questions, and ensure each meal plan is accurately captured in our system. Your role directly influences client satisfaction, adherence to nutritional plans, and ultimately, the health outcomes of the people we serve.

Key Responsibilities

  • Answer inbound and place outbound calls for Spanish‑speaking customers, providing a warm, empathetic experience from the first hello to the final goodbye.
  • Collect, verify, and enter detailed order information into the arenaflex client order platform with precision and speed.
  • Document every interaction in the client information database, ensuring a complete and searchable record for future reference.
  • Proactively reach out to assigned clients to confirm orders, resolve missing information, and guarantee that every client has a complete, up‑to‑date order on file.
  • Coordinate with case managers, healthcare providers, and internal teams via telephone, email, or fax when special circumstances arise, maintaining confidentiality and compliance with HIPAA regulations.
  • De‑escalate challenging situations, turning potential complaints into positive experiences while adhering to arenaflex’s core values and policies.
  • Maintain a quiet, distraction‑free workspace, using a wired Ethernet connection to ensure reliable communication and data entry.
  • Collaborate with teammates and supervisors to share best practices, contribute to continuous improvement initiatives, and support the overall success of the customer service department.

Essential Qualifications

  • Bilingual proficiency in English and Spanish, with the ability to converse fluently and professionally in both languages.
  • High school diploma or GED equivalent; additional education or certifications are a plus.
  • Minimum of one year of proven customer service experience, preferably in a remote or call‑center environment.
  • Demonstrated competence with the Microsoft Office suite (Word, Excel, Outlook) and comfort navigating web‑based applications.
  • Excellent oral communication skills, with a clear, friendly, and articulate speaking style.
  • Strong problem‑solving abilities, capable of quickly resolving customer concerns while maintaining a calm demeanor.
  • Commitment to following company policies, upholding arenaflex’s core values, and protecting client privacy under HIPAA guidelines.
  • Reliable high‑speed internet connection via Ethernet and a dedicated, quiet workspace free from interruptions.

Preferred Experience & Skills

  • One or more years of experience in a dedicated call‑center setting, handling high call volumes and multi‑line phone systems.
  • Familiarity with auto‑dialer technology, multi‑line telephone platforms, and Customer Relationship Management (CRM) software.
  • Previous exposure to HIPAA compliance, including handling protected health information (PHI) with discretion and accuracy.
  • Experience using order‑entry or healthcare‑specific software platforms, which will accelerate your onboarding process.

Physical & Environmental Requirements

  • Repetitive hand and wrist motions associated with typing and data entry.
  • Predominantly sedentary work, requiring the ability to sit for extended periods while maintaining focus.
  • Visual acuity sufficient for reading screen content, adjusting focus, and perceiving peripheral details.
  • Dedicated home office space that meets ergonomic standards and supports a professional work environment.
