The Remote Data Entry Assistant is the backbone of our order‑processing engine. Key Responsibilities

  • Process Incoming Excel Orders: Receive, review, and enter both macro‑enabled and standard Excel orders, ensuring data integrity and adherence to formatting standards.
  • Format and Standardize Data: Re‑format Excel spreadsheets as required, applying consistent naming conventions, data validation rules, and layout guidelines.
  • Profile Creation: Set up and maintain product and customer profiles for each new order, linking them to the appropriate inventory and pricing structures.
  • Paper Order Management: Accurately transcribe paper orders from the Consumer and Business Gift Divisions, meeting demanding turnaround times.
  • Treasury Batch Processing: Efficiently handle Treasury batch orders, coordinating with finance teams to meet strict settlement deadlines.
  • Customer Gift History Maintenance: Compile and update comprehensive gift‑history lists, enabling personalized service and targeted marketing initiatives.
  • Catalog Requests & Address Updates: Enter catalog requests, process address changes, and ensure all customer information is current.
  • Communication Management: Respond promptly to internal communications, providing status updates and clarifications while maintaining a professional tone.
  • Knowledge Management: Continuously monitor product and business information resources, staying up‑to‑date on new offerings, pricing changes, and policy updates.
  • Special Projects: Support cross‑functional teams on ad‑hoc projects, data clean‑ups, and process‑improvement initiatives across the organization.

Essential Qualifications

  • Minimum of 6 months proven data‑entry experience in a fast‑paced environment.
  • Medium to advanced proficiency with Microsoft Excel, including formulas, pivot tables, and basic macro handling.
  • Strong command of Microsoft Word and Outlook for documentation and communication.
  • Exceptional verbal and written communication skills, with a focus on clarity and professionalism.
  • Demonstrated ability to organize, prioritize, and multitask to meet tight deadlines.
  • Typing speed of at least 35 words per minute with high accuracy.
  • Excellent spelling, grammar, and attention to detail.
