Position Overview
This is a full-time, remote position within the Administrative (Virtual) job category at arenaflex. The selected candidate will serve as a critical point of contact for the IT department, managing a variety of reception, data entry, correspondence, and facilities-related administrative duties. Working in coordination with IT leadership and cross-functional teams, you will help maintain organizational flow, uphold confidentiality standards, and ensure that the IT team's daily operations are supported with professionalism and efficiency.
While this position is performed remotely, you will be deeply integrated into the day-to-day functions of arenaflex's IT department, providing virtual reception coverage, document management, badge administration, meeting coordination, and supply oversight for digital and physical office environments.
Key Responsibilities
As a Remote Virtual Receptionist & Administrative Data Entry Specialist at arenaflex, your duties will include, but are not limited to, the following:
- IT Department Structure Awareness: Maintain a comprehensive understanding of arenaflex's IT department organizational chart, including awareness of which leaders oversee each functional team. This knowledge allows you to route communications, requests, and inquiries accurately and efficiently.
- Mail and Correspondence Management: Sort, scan, and digitally distribute incoming mail and internal correspondence throughout arenaflex's virtual campus and satellite office locations. Ensure that all materials reach the appropriate recipients in a timely manner.
- Postage and Mail Account Administration: Manage postage allocations, mail accounts, and the full lifecycle of incoming and outgoing physical mail, ensuring accurate tracking and cost-effective operations.
- Office Supply and Common Area Oversight: Coordinate the ordering, stocking, and organization of office supplies for the IT department. Ensure that digital common areas, shared resources, and virtual collaboration spaces remain clean, organized, and accessible to all team members.
- IT Meeting Coordination: Schedule, set up, and dismantle virtual IT meetings and conference sessions, including the preparation of agendas, technical resources, and post-meeting follow-up documentation. Once meetings conclude, ensure that virtual meeting rooms are reset for the next session.
- ID Badge Administration: Create, issue, replace, and deactivate employee and visitor ID badges in accordance with arenaflex's security protocols. Maintain accurate badge records and ensure compliance with all access control policies.
- Reception Desk Coverage: Provide remote reception desk support by answering incoming calls, directing visitors (whether in-person or virtual), greeting guests, and responding to general inquiries with professionalism and courtesy.
