Key Responsibilities

As a vital member of the arenaflex customer service team, your primary mission will be to deliver world-class service to our Spanish-speaking clients while accurately processing meal orders. Your day-to-day responsibilities will include, but are not limited to, the following:

  • Customer Interaction: Handle a steady flow of inbound and outbound customer service calls with professionalism, warmth, and efficiency. Assist clients in placing their meal orders and address any questions or concerns they may have about our products and services.
  • Order Processing: Accurately input customer order information into the appropriate client order system, ensuring all details are captured correctly for timely and precise delivery.
  • Documentation: Thoroughly document all customer interactions, conversations, and resolutions in the client information database to maintain accurate records and support continuity of care.
  • Client Outreach: Proactively contact all assigned clients to confirm they have an active order on file, following up as needed to ensure no client is overlooked.
  • Case Manager Communication: Reach out to case managers via telephone, email, or fax when special situations arise regarding one of their clients, ensuring clear and timely communication between all parties.
  • Efficiency with Empathy: Work quickly and efficiently without making the client feel rushed. Balance the demands of high call volume with the need to provide personalized, attentive service to every caller.
  • Problem Resolution: Address customer questions and concerns, de-escalate potentially difficult situations, and resolve complaints promptly and satisfactorily to maintain arenaflex's reputation for excellence.
  • Policy Adherence: Follow all arenaflex company policies, procedures, and core values in every interaction, ensuring compliance with industry standards including HIPAA regulations.

Essential Qualifications and Requirements

To succeed in this role at arenaflex, candidates must possess the following qualifications and attributes:

  • Bilingual Fluency: Full professional fluency in both English and Spanish (written and verbal) is required. You must be able to communicate clearly, compassionately, and accurately in both languages.
  • Educational Background: A high school diploma or GED equivalent is required.
  • Customer Service Experience: A minimum of one year of previous customer service experience in any industry, demonstrating your ability to handle customer interactions with professionalism and care.
  • Technical Proficiency: Previous knowledge and hands-on experience using the Microsoft Office suite, including Word, Excel, and Outlook, is required.
  • Communication Skills: Clear and articulate oral communication skills are essential, as you will be the voice of arenaflex for our Spanish-speaking clients.
  • Conflict Resolution: Demonstrated ability to de-escalate tense situations and quickly resolve customer complaints with empathy and effectiveness.

  • Remote Work Setup: Must have a reliable, wired internet connection using an ethernet port (Wi-Fi-only setups are not sufficient for this role).
  • Dedicated Workspace: Must have a quiet, dedicated workspace that is free from distractions, allowing you to focus fully on customer interactions and maintain confidentiality.
  • Residency Requirement: Must be physically located in the state of Utah or Idaho. Applicants residing outside of these two states will not be considered for this position.

Preferred Qualifications

While not required, the following qualifications will give candidates a distinct advantage:

  • Call Center Experience: A minimum of one year of previous call center experience, ideally in a high-volume environment, is highly desirable.
  • Telephony and CRM Systems: Previous experience working with auto dialers, multi-line phone systems, and Customer Relationship Management (CRM) platforms will help you hit the ground running at arenaflex.
  • Healthcare Industry Knowledge: Previous experience working with HIPAA policies and procedures, or a background in healthcare-related customer service, is a strong plus.

Physical Requirements

This is a sedentary, remote-based position that requires the following physical capabilities:

  • Ability to perform repetitive motions that include the wrists, hands, and/or fingers, such as typing and using a mouse for extended periods.
  • Ability to remain in a stationary, seated position for prolonged periods of time throughout the workday.
