We are seeking a motivated, detail-oriented, and sales-driven Live Chat Sales & Booking Operations Specialist to join our expanding team. In this hybrid role, you will serve as the digital voice of arenaflex, engaging prospective customers through live chat while simultaneously supporting our broader agent channel sales strategy, event booking operations, and vendor coordination efforts.
Key Responsibilities
Live Chat Customer Engagement and Sales Support
- Respond promptly and professionally to inbound live chat inquiries from prospective customers, providing accurate information about arenaflex venues, events, booking options, and packages.
- Convert live chat conversations into qualified leads and confirmed bookings by understanding customer needs, recommending appropriate offerings, and guiding them through the reservation process.
- Maintain a high standard of written communication that reflects the arenaflex brand voice, ensuring every interaction is courteous, informative, and persuasive.
- Document all customer interactions, lead status updates, and follow-up actions in the CRM system to ensure seamless handoff to the booking and sales teams.
- Proactively identify upsell and cross-sell opportunities during live chat sessions to maximize revenue per customer interaction.
Agent Channel Sales Strategy and Vendor Management
- Ensure that all agent vendors fully understand and execute the arenaflex sales strategy, with clearly defined sales goals and performance benchmarks.
- Train, motivate, and monitor agent vendors to achieve or exceed planned sales budgets for the agent channel.
- Maintain the agent channel portfolio effectively to avoid potential conflicts with other sales team members and ensure equitable lead distribution.
- Communicate new product offerings, promotional campaigns, and pricing updates to the sales team, gathering product feedback to inform future strategy.
- Motivate a team of sales professionals to consistently meet or exceed sales goals through coaching, performance tracking, and recognition.
Event Booking and Operational Coordination
- Assist the booking team in sharing information with Contract Managers for various venues, including drafting, tracking, and summarizing deal points.
- Provide day-to-day support of all event scheduling and booking functions, including pro formas, offers, tour histories, event-related contracts, and post-event summaries.
- Work in an integrated manner with property management to understand demographics, branding, and booking objectives for each venue.
- Prepare orders to replenish stock at bars to pre-determined par levels, ensuring seamless event-day operations.
- Create and manage reports and spreadsheets as needed to track various booking, scheduling, and sales activities.
Talent Liaison and Audition Coordination
- Serve as arenaflex's liaison to talent and coordinate flawless execution of the audition process, from scheduling to final selection.
- Assist in finding, securing, and onboarding outside vendors and performers to appear in the park or at special events.
- Maintain clear documentation of talent agreements, audition outcomes, and performance schedules.
Industry Relations and Event Hosting
- Host industry and civic leaders at world-class arenaflex events, ensuring VIP experiences that strengthen partnerships and community relationships.
- Represent arenaflex professionally at industry functions, trade shows, and networking events as needed.
- Navigate in, on, or around scenic elements associated with specific shows and acts in potentially dark and restricted spaces when supporting live event operations.
Physical and Operational Requirements
- Perform tasks that require standing and/or moving at a fast pace for periods of up to eight hours during event support activities.
- Maintain flexibility to work evenings, weekends, and holidays as required by event schedules and peak booking periods.
- Adapt quickly to changing priorities in a dynamic, customer-facing environment.
Essential Qualifications
- Proven experience in live chat support, customer service, sales, or a related role, preferably within the entertainment, hospitality, or events industry.
- Exceptional written communication skills with the ability to type quickly and accurately while maintaining a professional tone.
