Role Overview

arenaflex is seeking a highly motivated Evening Shift Trip Assignment Specialist to join our remote operations team. This role is pivotal in ensuring that nightly transportation requests are efficiently assigned, coordinated, and executed. You will work the night shift (11:30 pm – 8:00 am PT, Monday through Friday) from the comfort of your home, collaborating closely with dispatchers, drivers, and our partner network to deliver flawless service during peak evening hours.

Key Responsibilities

  • Assign approximately 700–900 nightly trips to dispatchers using the arenaflex dispatch platform, ensuring optimal coverage and compliance with service standards.
  • Construct daily dispatcher schedules that incorporate mandatory breaks, lunch periods, and shift rotations, maintaining compliance with labor regulations and internal policies.
  • Match dispatchers to trips based on language proficiency, cultural competency, and member preferences, thereby enhancing member satisfaction and safety.
  • Prioritize and stack trips to the arenaflex partner network, guaranteeing that contracted partners receive a balanced workload and that service level agreements (SLAs) are met.
  • Answer inbound calls from members during evening hours, providing courteous assistance, trip updates, and resolution of any immediate concerns.
  • Coordinate ad‑hoc evening trips as they arise, collaborating with dispatchers and drivers to secure timely pickups and drop‑offs.
  • Process partner‑related administrative tasks, including payment verification, invoice reconciliation, and documentation of service delivery.
  • Manage Level 1 administrative tickets within the arenaflex ticketing system, escalating complex issues to senior support staff when necessary.
  • Continuously monitor key performance indicators (KPIs) such as on‑time pickup rates, trip completion percentages, and member feedback scores, reporting trends to operations leadership.
  • Participate in nightly debriefs, sharing insights, challenges, and improvement ideas to refine the dispatch workflow.

Essential Qualifications

  • Minimum of 2 years’ experience in dispatching, transportation coordination, or a related logistics role, preferably within the healthcare or NEMT sector.
  • Demonstrated ability to manage high‑volume workloads with accuracy and attention to detail.
  • Strong verbal and written communication skills, with a focus on empathy and professionalism when interacting with members and partners.
  • Proven reliability and willingness to work consistent night‑shift hours (11:30 pm – 8:00 am PT) across Monday‑Friday.
  • Comfortable using web‑based platforms, scheduling software, and ticketing systems; prior experience with arenaflex‑style dispatch tools is a plus.
  • Basic proficiency with Microsoft Office Suite (Excel, Word, Outlook) and the ability to generate simple reports.

Preferred Qualifications

  • Experience in a healthcare environment, such as working with hospitals, clinics, or home‑care agencies.
  • Familiarity with regulatory requirements governing non‑emergency medical transportation, including HIPAA and state‑specific transportation statutes.
  • Multilingual abilities, especially in Spanish, Mandarin, or other languages commonly spoken by arenaflex members.
  • Previous exposure to remote work environments, demonstrating self‑discipline, time‑management, and effective virtual collaboration.
  • Certification in logistics, supply chain management, or a related field.

Core Skills & Competencies

  • Analytical Thinking: Ability to assess trip data, identify patterns, and make data‑driven assignment decisions.
  • Problem Solving: Quick resolution of scheduling conflicts, driver shortages, or member concerns during high‑pressure periods.
  • Customer Service Excellence: Maintaining a calm, helpful demeanor while handling inbound calls and member inquiries.
  • Organizational Mastery: Managing multiple concurrent tasks, from scheduling to ticket resolution, without sacrificing quality.
  • Technology Savvy: Comfortable navigating the arenaflex dispatch platform, ticketing system, and related digital tools.
  • Team Collaboration: Working closely with dispatchers, drivers, partner network representatives, and senior operations staff to achieve shared goals.
