At arenaflex, we believe that accurate data is the backbone of every successful clinical trial. Every record entered, every query resolved, and every patient interaction matters. We are currently seeking a detail-oriented, compassionate, and highly motivated Data Entry Specialist with a focus on patient safety to join our growing remote team. If you thrive in a fast-paced environment, possess exceptional organizational skills, and want to play a vital role in protecting patient welfare and ensuring research excellence, this opportunity is for you.

Position Overview

As a Data Entry Specialist (Remote) – Clinical Research & Patient Safety at arenaflex, you will serve as a critical link between patients, research teams, and clinical data systems. Your primary responsibility will be to ensure that patient records and clinical trial data are accurate, complete, and entered in a timely manner. You will work with both computerized systems and paper-based patient records, performing data capture, verification, and quality control activities that uphold the integrity of every study arenaflex supports.

In addition to data entry responsibilities, you will conduct patient safety calls, communicate with study participants, and collaborate with cross-functional research teams to resolve data discrepancies. This dual-focus role requires a unique blend of technical precision, empathetic communication, and regulatory awareness. You will be trained in International Conference on Harmonisation Good Clinical Practice (ICH GCP) guidelines and supported by a leadership team that values professional growth, work-life balance, and continuous learning.

Key Responsibilities

Electronic Data Capture (EDC) Completion

  • Review and process research charts with meticulous attention to accuracy and completeness.
  • Complete electronic data capture (EDC) entries for active clinical trials in accordance with study protocols.
  • Perform quality control checks on all EDC submissions to identify and correct errors before finalization.
  • Maintain a consistent cadence of data entry to meet project timelines and sponsor expectations.

Source Data Verification

  • Gather relevant data from multiple source documents and accurately input information into arenaflex’s electronic database systems.
  • Cross-reference patient records against source documents to ensure consistency and regulatory compliance.
  • Address data queries promptly and apply data-related corrections as directed by research teams.
  • Handle sensitive patient information with the highest level of confidentiality and integrity.

Query Resolution

  • Investigate records flagged for incomplete or inconsistent data by retrieving supporting information from research teams.
  • Assess data for completeness, accuracy, and errors, and escalate concerns as appropriate.
  • Document resolution steps clearly to support audit readiness and regulatory inspections.
  • Collaborate with clinical research associates and data managers to implement corrective actions.

Administrative and Patient Support

  • Conduct scheduled safety calls with patients currently enrolled in clinical studies to verify wellbeing and gather updates.
  • When onsite support is needed, escort patients to and from exam rooms, ensuring they are attended to and directed appropriately.
  • Partner with team members across departments to meet data entry, cleaning, and reporting timelines.
  • Become familiar with current ICH GCP best practices, guidelines, and arenaflex standard operating procedures.
  • Support additional administrative tasks related to study coordination and patient engagement as required.

Essential Qualifications

  • High school diploma or equivalent required; associate or bachelor’s degree in healthcare, life sciences, or a related field preferred.
  • Demonstrated experience with data entry in a clinical, healthcare, or research environment.
  • Strong computer skills, including proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Ability to learn and adapt quickly to new software platforms, electronic data capture systems, and database tools.
  • Exceptional attention to detail with a commitment to producing accurate, high-quality work.
  • Critical thinking and analytical skills with the ability to identify discrepancies and propose solutions.
  • Capacity to thrive in a fast-paced, deadline-driven environment while managing multiple priorities.
  • Excellent verbal and written communication skills, particularly when interacting with patients and research teams.
  • Flexibility, a positive attitude, and a strong work ethic aligned with arenaflex’s values.

Preferred Qualifications

  • Prior data management experience within clinical research, pharmaceuticals, or healthcare settings.
  • Familiarity with ICH GCP guidelines, HIPAA regulations, and clinical trial protocols.
  • Experience using clinical trial management systems (CTMS), electronic data capture (EDC) platforms, or similar databases.
  • Background in patient-facing roles such as medical assisting, nursing support, or clinical coordination.
  • Bilingual or multilingual capabilities are a plus, depending on study demographics.

Skills and Competencies for Success

Success in this role at arenaflex requires more than technical aptitude. We are looking for professionals who combine precision with empathy, independence with collaboration, and curiosity with accountability. The ideal candidate will demonstrate:

  • Adaptability: Comfort navigating shifting priorities, evolving protocols, and new technologies.
  • Time Management: Ability to balance competing deadlines while maintaining quality standards.
  • Confidentiality Awareness: Understanding the importance of protecting patient privacy and adhering to regulatory requirements.
  • Team Collaboration: Willingness to support colleagues and contribute to a positive, inclusive remote work culture.
