As a member of the arenaflex family, you will be part of a forward‑thinking environment where your contributions directly impact the success of our clients and the growth of the company.

Why This Role Matters

In today’s data‑rich economy, the ability to capture, validate, and report information quickly and accurately is a competitive advantage. As a Remote Data Entry & Accounting Support Specialist at arenaflex, you will be the linchpin that connects customer shipments, financial records, and internal operations. Your meticulous attention to detail and proficiency with Excel and QuickBooks will ensure that invoices, settlement reports, and payroll data are error‑free, timely, and compliant with industry standards. This role offers a unique blend of data‑entry precision, accounting insight, and customer‑service excellence—all from the comfort of your home office.

Key Responsibilities

  • Settle customer shipments and assist in the preparation of monthly claims, ensuring all documentation aligns with contractual terms.
  • Create, review, and post invoices and bills in QuickBooks, maintaining accurate financial records for each client.
  • Generate detailed settlement reports for customers, then distribute them via email with clear explanations of any variances.
  • Verify and reconcile customer logs, identifying discrepancies and working with operations teams to resolve them promptly.
  • Maintain organized electronic and paper filing systems, applying consistent naming conventions and version control.
  • Communicate proactively with customers and internal operation groups regarding shipment report discrepancies, providing timely updates and solutions.
  • Support broader administrative functions, including answering phone calls, greeting virtual visitors, preparing payroll timesheets, and assisting with ad‑hoc projects.
  • Collaborate with cross‑functional teams on office‑related assignments, contributing ideas that improve workflow efficiency.

Essential Qualifications

  • High school diploma or equivalent; some college coursework or an associate degree is preferred.
  • Minimum of 1 year of office or administrative experience, preferably in a remote or hybrid setting.
  • Proficiency with Microsoft Office Suite—Excel (including formulas, pivot tables, and data validation), Word, PowerPoint, Outlook, and SharePoint.
  • Strong oral and written communication skills, with the ability to convey complex information clearly to both internal teams and external customers.
  • Demonstrated ability to work independently, manage priorities, and meet deadlines in a dynamic environment.
  • Exceptional organizational skills and a keen eye for detail, ensuring data integrity across all tasks.
  • Basic understanding of accounting principles and experience with QuickBooks (or similar accounting software) is a plus.

Preferred Skills & Competencies

  • Advanced Excel capabilities: experience with VLOOKUP, XLOOKUP, conditional formatting, and macro creation.
  • QuickBooks expertise: ability to navigate the platform, generate financial statements, and troubleshoot common issues.
  • Familiarity with remote collaboration tools such as Slack, Microsoft Teams, or Zoom.
  • Customer‑service orientation, with a track record of building positive relationships and resolving issues efficiently.
  • Ability to multi‑task, prioritize competing demands, and adapt to shifting priorities without sacrificing quality.
  • Self‑motivation and a proactive mindset—identifying process improvements before they become problems.
  • Basic knowledge of data‑privacy regulations (e.g., GDPR, CCPA) and best practices for handling sensitive information.

Career Growth & Learning Opportunities

arenaflex is committed to investing in the professional development of its team members. As you excel in this role, you will have access to a variety of growth pathways:

  • Skill‑enhancement programs: free subscriptions to online learning platforms (LinkedIn Learning, Coursera, Udemy) for courses in advanced Excel, accounting, and data analytics.
  • Mentorship and coaching: regular one‑on‑one sessions with senior accountants and operations leaders to refine your technical abilities and career strategy.
  • Cross‑departmental exposure: opportunities to collaborate with finance, logistics, and client‑success teams, broadening your business acumen.
  • Certification support: financial and bookkeeping certifications (e.g., QuickBooks Certified User, Certified Bookkeeper) are reimbursed upon successful completion.
  • Leadership track: high‑performing specialists may progress to senior analyst, team lead, or remote operations manager positions within 2‑3 years.
