Position Overview

arenaflex is looking for a highly organized, proactive, and customer-focused Remote Administrative Assistant – Customer Service & Travel Operations Specialist to provide comprehensive support to our Travel and Operations Department. This dual-role position combines traditional administrative responsibilities with front-line customer service duties, making it ideal for a versatile professional who excels at multitasking and thrives in a fast-paced, client-driven environment.

As a key member of our team, you will play an essential role in coordinating travel logistics, managing client communications, maintaining accurate records, and ensuring the smooth day-to-day operation of our travel services. Key Responsibilities

Travel Coordination and Booking Management

  • Assist clients and internal stakeholders with end-to-end travel arrangements, including booking flights, accommodations, ground transportation, tours, and special activities.
  • Coordinate complex itineraries that align with client preferences, budgets, and timelines.
  • Monitor travel schedules and proactively address changes, cancellations, or disruptions to ensure seamless experiences.

Administrative and Operational Support

  • Provide high-level administrative assistance to the Travel Department, including managing email correspondence, phone calls, and written communications.
  • Organize and maintain digital and physical filing systems to ensure records are easily accessible and up to date.
  • Prepare, edit, and format professional documents, presentations, reports, and travel itineraries using Microsoft Office Suite and other relevant software tools.

Calendar and Schedule Management

  • Coordinate and manage calendars for travel advisors and department leadership, scheduling meetings, appointments, and client consultations with precision.
  • Anticipate scheduling conflicts and propose efficient solutions to optimize team productivity.

Client Communication and Customer Service

  • Serve as a primary point of contact for clients, responding promptly and professionally to inquiries related to travel arrangements, policies, and services.
  • Address client concerns with empathy and efficiency, working to resolve issues and ensure complete satisfaction.
  • Build and maintain strong client relationships through consistent, high-quality communication.

Data Entry and Record-Keeping

  • Enter and maintain accurate records of client information, travel bookings, expenses, and vendor communications in CRM systems and spreadsheets.
  • Generate reports and summaries as needed to support departmental decision-making and performance tracking.

Vendor and Partner Coordination

  • Liaise with hotels, airlines, tour operators, and other service providers to confirm reservations, negotiate details, and resolve any booking issues.
  • Maintain positive working relationships with vendors to ensure preferred rates and priority service for our clients.

Office Management and Event Support

  • Assist with general operational tasks, including supply ordering, file organization, and coordination of internal meetings.
  • Provide logistical support for travel-related events, promotions, and special projects, including on-site or virtual coordination as needed.

Team Collaboration

  • Work closely with colleagues across departments to ensure efficient operations and consistent service delivery.

Qualifications

Essential Qualifications

  • Proven experience in an administrative, office support, or customer service role, preferably within the travel, hospitality, or events industry.
