Position Summary

We are hiring a meticulous and driven Remote Data Entry Assistant – Investment Operations & Reconciliation Specialist to support our daily reconciliation, trade, and transfer workflows. This is a full-time, fully remote opportunity available to candidates based in the United States. In this role, you will be accountable for processing and reconciling complex transactions across Alternate Investments, refining trade buy/sell activity within client accounts, identifying and resolving breaks between clearing systems and fund companies, and supporting a wide range of operational events that directly affect client and advisor profiles. Your work will be a critical line of defense against account attrition, client dissatisfaction, and regulatory exposure.

Key Responsibilities

Reconciliation & Transaction Processing

  • Perform daily reconciliation of trades, transfers, and dividend activity for Alternate Investments.
  • Refine and process trade buy and sell purchases within client and advisor profiles with a high degree of accuracy.
  • Identify, investigate, and resolve breaks between clearing systems, fund companies, and contra firms.
  • Settle and reconcile move activity as well as process dividend distributions in accordance with established procedures.
  • Manage end-to-end processing of Corporate Action events impacting client portfolios.

Analysis & Regulatory Compliance

  • Review membership agreements and transmission requests to ensure proper account setup and authorization.
  • Investigate client- and advisor-level exceptions and determine appropriate corrective actions.
  • Apply knowledge of governing regulatory obligations (such as Rule 2340 and 15c3-3) to day-to-day processing.
  • Reconcile activity across back-office systems (BOS) and fund firms to ensure alignment.
  • Assess and apply relevant tax codes, and make corrections to tax coding as needed.

Issue Resolution & Problem Solving

  • Address internal and external system enhancements or issues affecting trade and transfer processing.
  • Diagnose the source of breaks between clearing, fund companies, and other counterparties.
  • Recommend process or technology solutions to leadership that improve workflow efficiency and reduce operational risk.
  • Remediate transfer issues with funds and contra companies to maintain accurate account status.

Client & Business Partner Service

  • Respond to business partner inquiries related to fund-specific requirements and eligibility.
  • Provide timely follow-up on Alternate Investment transactions to accelerate client requests and remediate "not in good order" items.
  • Ensure prompt and accurate completion of client investing and dividend requests.
  • Communicate professionally with Retail and Institutional business teams via email, phone, Slack, Microsoft Teams, and Salesforce.
  • Represent arenaflex in daily interactions with fund companies, transfer agents, contra firms, and other external partners.

Technology Validation & Continuous Improvement

  • Execute testing and validation for new technology enhancements and vendor updates.
  • Document findings, escalate issues, and partner with technology teams to drive resolution.
  • Contribute to process improvement initiatives that strengthen operational controls.

Essential Qualifications

  • High school diploma or equivalent required; associate or bachelor's degree in Finance, Accounting, Business, or a related field preferred.
  • Proven experience in data entry, financial operations, trade reconciliation, or back-office processing — ideally within a broker-dealer, custodian, or investment operations environment.
  • Strong typing accuracy and speed with a demonstrated ability to handle high-volume transaction processing.
  • Working knowledge of Alternate Investments, including trade settlement, corporate actions, and dividend processing.
  • Familiarity with regulatory frameworks such as 15c3-3 and 2340, and their application to clearing operations.
  • Comfort with Microsoft Office (especially Excel), Salesforce, Slack, and similar collaboration tools.
  • Exceptional attention to detail with a commitment to delivering error-free work.
  • Strong written and verbal communication skills for effective interaction with internal teams and external partners.

Preferred Qualifications

  • Prior experience supporting a clearing firm, transfer agent, or fund operations team.
  • Exposure to tax coding and correction processes for investment accounts.
  • Experience participating in system testing, user acceptance testing (UAT), or technology vendor implementations.
  • Ability to analyze complex or escalated issues and propose practical, compliant solutions.
  • Self-motivation and discipline to thrive in a 100% remote work environment.
