We are currently seeking a dedicated, bilingual Healthcare Data Entry Specialist to support our billing operations in San Juan, Puerto Rico. About the Role

As a Healthcare Data Entry Specialist at arenaflex, you will be an essential member of our billing operations team, supporting our diagnostic services partner through a variety of critical data management functions. Your primary responsibility will be to ensure the accurate, timely entry of billing information into our systems, enabling seamless revenue cycle operations and supporting the financial health of the organization.

This role encompasses several specialized functions, including Billing Data Entry, Billing Data Acquisition, Manual Mail Returns processing, and Third-Party Denials resolution. You will work closely with internal teams, insurance carriers, and patient correspondence to maintain data integrity and drive efficient billing cycles.

Please note: An English proficiency and data entry proficiency assessment will be required following the submission of your application.

Key Responsibilities

  • Billing Data Entry: Accurately input billing mnemonics and all required billing information as it appears on imaged requisitions, including U.S. postal addresses, medical codes, insurance carrier details, and related demographic data.
  • Patient Inquiry Support: Follow established procedural guidelines to enter information into our systems while professionally and compassionately responding to patient inquiries related to billing matters.
  • Multi-Platform Navigation: Efficiently navigate multiple computer applications, including Microsoft Word, Microsoft Excel, online web applications, and mainframe systems, to perform daily tasks.
  • Research and Resolution: Conduct basic research within computer applications to gather or verify information such as addresses, billing codes, and reject codes necessary to complete data entry accurately.
  • Template Utilization: Use pre-designed templates to generate letters, correspondences, and other communications related to billing operations.
  • Data Transfer and Billing Initiation: Enter and transfer received data from diagnostic partners into required applications to initiate and support the billing cycle.
  • Mail Return Research: Investigate returned mail, update invoices with current and accurate information in the appropriate billing system, and document actions taken on patient bills.
  • Denials Research and Resolution: Research denied bills resulting from coverage issues, patient information errors, or insurance discrepancies, and take corrective action to resolve claims for re-billing.
  • Compliance and Quality: Adhere strictly to organizational policies, HIPAA regulations, and quality standards to ensure data confidentiality and operational integrity.

Required Qualifications

  • Minimum of 1 year of data entry experience in a professional office or healthcare environment.
  • Demonstrated customer service experience, with the ability to communicate professionally and empathetically with patients and stakeholders.
  • Professional proficiency in both English and Spanish, including strong written and verbal communication skills in each language.
  • Solid computer proficiency, including experience with Windows PC operating systems, web-based applications, and the ability to quickly learn and adapt to new and complex software platforms.
  • Availability to work 40 hours per week during standard business operating hours, Monday through Friday, from 7:00 a.m. to 4:30 p.m. Occasional overtime, including weekends and holidays, may be required based on business needs.
  • Legal authorization to work in Puerto Rico.

Preferred Qualifications

  • Prior medical billing experience in a healthcare or insurance setting.
  • Working knowledge of medical terminology or health insurance terminology.
  • Strong Microsoft Excel skills, including the ability to create, edit, and manage spreadsheets.
  • Experience working with diagnostic laboratories, insurance claims processing, or revenue cycle management.
  • Demonstrated ability to handle confidential information with discretion and professionalism.
