Position Overview

We are currently seeking a dedicated and detail-oriented Remote Data Entry Specialist to join our growing operations team. In this role, you will be the backbone of our data management infrastructure, responsible for inputting, updating, and maintaining the critical information that powers our travel services. Key Responsibilities

Core Data Management Duties

  • Accurate Data Input and Updates: Enter and maintain travel-related information across multiple database systems, including client bookings, reservation details, itinerary components, supplier contracts, and contact information. Every keystroke matters, and consistency is critical.
  • Quality Assurance Audits: Conduct routine and ad-hoc data integrity checks to identify discrepancies, errors, or outdated information. Proactively correct inconsistencies and flag systemic issues to management for resolution.
  • Record Organization and Retrieval: Maintain a logical, well-structured digital filing system that allows team members across departments to quickly access the information they need without delay.

Cross-Functional Collaboration

  • Team Communication: Partner with the reservations, customer service, operations, and management teams to ensure smooth data flow, accurate hand-offs, and timely updates to shared systems.
  • Internal Support: Respond to internal data requests promptly and assist colleagues in locating and interpreting stored information.

Documentation and Compliance

  • Comprehensive Documentation: Prepare, organize, and store documentation related to client bookings, vendor agreements, contracts, and correspondence in accordance with company protocols.
  • Regulatory Compliance: Handle all sensitive client and business information in strict alignment with data protection regulations (including GDPR, CCPA, and other applicable frameworks) and internal confidentiality standards.

Continuous Improvement

  • Process Optimization: Identify inefficiencies in current data entry workflows and propose practical solutions to improve speed, accuracy, and scalability.
  • Tool and Template Enhancement: Collaborate with leadership to refine data templates, entry forms, and validation rules to reduce manual errors and improve the user experience for downstream teams.

Essential Qualifications

  • Educational Background: A high school diploma or equivalent is required. A Bachelor’s degree in Business Administration, Information Management, Hospitality, or a related field is strongly preferred.
  • Relevant Experience: A minimum of one to two years of experience in data entry, administrative support, or a similar role. Prior experience in the travel, hospitality, or customer service industry is a significant plus.
  • Typing Proficiency: Demonstrated fast and accurate typing skills, typically 50+ words per minute with minimal errors.
