Key Responsibilities

Family & Provider Interaction

  • Deliver outstanding, empathetic phone support to families, answering questions about evaluation appointments, treatment pathways, and insurance processes.
  • Educate parents on what to expect during each stage of care, ensuring they feel confident and informed.
  • Maintain professional, courteous communication with referring physicians, pediatric specialists, and insurance representatives.

Administrative Excellence

  • Accurately capture patient registration details, verify insurance eligibility, and schedule initial evaluation appointments.
  • Identify potential scheduling conflicts or trends across clinic locations and proactively recommend solutions.
  • Coordinate the flow of information among clinics, providers, and payors to keep each case moving smoothly.
  • Review cost‑share amounts, co‑payments, and financial responsibilities with families, providing transparent explanations.

Call Management & Process Optimization

  • Handle a variable call volume of 40–70 inbound and outbound calls per day across multiple queues.
  • Prioritize tasks in real time, balancing urgent inquiries with routine follow‑ups.
  • Document interactions in arenaflex’s CRM system, ensuring data integrity and compliance with privacy regulations.
  • Continuously absorb new information about treatment protocols, insurance updates, and technology enhancements.

Essential Qualifications

  • 1–2 years of customer service experience, preferably in a healthcare, insurance, or tele‑support environment.
  • 1–2 years of hands‑on experience with computer software, including CRM platforms, scheduling tools, and Microsoft Office Suite.
  • Exceptional verbal communication skills, with polished phone etiquette and the ability to convey complex information in plain language.
  • Demonstrated ability to work effectively with individuals from diverse cultural, socioeconomic, and linguistic backgrounds.
