Why This Role Stands Out

We are currently seeking motivated, detail‑oriented individuals who reside in New York State to join a fast‑growing healthcare provider based in the Pittsford, NY region. This is a remote, work‑from‑home opportunity that offers a stable, full‑time schedule, comprehensive training, and a clear pathway to advance within the healthcare administration field. Whether you are looking to launch a new career or enhance your existing skill set, this position provides the perfect platform to apply your clerical talents to the critical process of medical claim review.

Key Responsibilities – What You’ll Do Every Day

  • Perform accurate and efficient data entry of claim information into proprietary healthcare software systems.
  • Prepare, format, and proofread documents, ensuring all medical terminology and patient details are captured without errors.
  • Assist claim reviewers by organizing and distributing case files, faxing necessary paperwork, and maintaining up‑to‑date electronic records.
  • Conduct thorough document reviews to verify completeness, flag inconsistencies, and route items for further investigation when needed.
  • Maintain strict confidentiality of patient data in compliance with HIPAA and other regulatory standards.
  • Collaborate with cross‑functional teams—including billing, coding, and customer service—to resolve outstanding claim issues promptly.
  • Participate in ongoing training sessions, quality‑control audits, and continuous‑improvement initiatives to enhance workflow efficiency.
  • Provide exceptional customer service via phone or email when interacting with internal stakeholders or external partners.

Work Schedule & Training Overview

This full‑time role offers flexible shift options to accommodate a variety of personal schedules. Choose from two primary shift patterns:

  • Monday‑Friday: 8‑hour shifts between 8:00 am – 5:00 pm.
  • Tuesday‑Saturday: 8‑hour shifts between 8:00 am – 4:30 pm.

All new hires will undergo a comprehensive onboarding program lasting approximately 2‑3 weeks. Training sessions run Monday through Friday, 8:30 am – 5:00 pm, and cover everything from software navigation to best practices in medical documentation.

Essential Qualifications – What We’re Looking For

  • Current residency in New York State (mandatory for eligibility).
  • High school diploma or GED; additional post‑secondary education or certifications in office administration, health information management, or related fields are a plus.
  • Proven experience in clerical, administrative, or data‑entry roles, preferably within a fast‑paced environment.
  • Exceptional attention to detail with a track record of delivering error‑free work.
  • Strong written and verbal communication skills, including the ability to draft clear, concise documents.
  • Comfortable using Microsoft Office Suite (Word, Excel, Outlook) and ability to quickly learn new software platforms.
  • Basic understanding of medical terminology and claim processing concepts is advantageous but not required.
  • Demonstrated reliability, punctuality, and the ability to work independently while meeting deadlines.

Preferred Qualifications – What Sets Top Candidates Apart

  • Experience in healthcare administration, medical billing, or insurance claim support.
  • Familiarity with HIPAA regulations and data‑privacy best practices.
  • Previous exposure to electronic health record (EHR) systems or claim‑management software.
  • Certification such as Certified Medical Administrative Assistant (CMAA) or Certified Professional Coder (CPC).
  • Demonstrated ability to multitask across multiple projects while maintaining high accuracy.

Core Skills & Competencies for Success

  • Analytical Acumen: Ability to scrutinize documents for completeness and spot discrepancies quickly.
  • Organizational Mastery: Efficiently manage digital files, prioritize tasks, and keep workflows orderly.
  • Technology Proficiency: Comfortable navigating new software interfaces, troubleshooting minor issues, and adapting to system updates.
  • Communication Excellence: Clear, courteous interaction with team members and external partners, both written and verbal.
