About the Role

Key Responsibilities

  • Organize office and assist associates in ways that optimize procedures, ensuring that all tasks are completed efficiently and effectively
  • Sort and distribute communications in a timely manner, maintaining accurate and up-to-date records
  • Create and update records, ensuring accuracy and validity of information, and implementing effective filing systems
  • Schedule and plan meetings and appointments, coordinating with other departments to ensure compliance with established policies
  • Monitor level of supplies and handle shortages, maintaining a well-stocked and organized office environment
  • Resolve office-related malfunctions and respond to requests or issues, providing excellent customer service to our clients and colleagues

Essential Qualifications

To be successful in this role, you will have:

  • Proven experience as a back-office assistant, office assistant, or in another relevant administrative role
  • Knowledge of "back-office" computer systems and working knowledge of office equipment
  • Thorough understanding of office management procedures and excellent organizational and time management skills
  • Analytical abilities and aptitude in problem-solving, with excellent written and verbal communication skills
  • Proficiency in MS Office and knowledge of QuickBooks and Excel
  • A valid Driver's license and dependable transportation

Preferred Qualifications

  • Advanced knowledge of office software and technology, including experience with database management and record-keeping systems
