Key Responsibilities

  • Client Communication: Answer incoming calls, take messages, and handle correspondence in a professional and timely manner.
  • Financial Administration: Create invoices for incoming clients, ensuring accuracy and attention to detail.
  • Meeting and Appointment Management: Schedule and arrange appointments, take notes or minutes during meetings, and maintain records.
  • Document Management: Type, prepare, and collate reports, and file or e-file documentation as required.
  • Organizational Tasks: Prioritize workload and daily tasks, manage organizational systems, and maintain a high level of organization.
  • Client Liaison: Liaise with relevant organizations and clients, build strong relationships, and provide exceptional customer service.
  • Marketing Support: Coordinate mail-shots and similar publicity tasks to support our marketing efforts.
  • Reception Duties: Meet and greet clients, providing a welcoming and professional atmosphere.

Essential Qualifications and Skills

To be successful in this role, you must possess the following qualifications and skills:

  • U.S. Citizenship: You must be a U.S. citizen to apply for this role.
  • Notary Public Certification: A Certified Notary Public certification is required for this position.
  • Receptionist Experience: A minimum of 2 years of experience as a Secretary or Receptionist is preferred.
  • Educational Background: A high school diploma or equivalent is preferred.
  • Language Skills: The ability to speak Spanish is highly desirable.
  • Technical Skills: Proficiency in using standard POS, Android, Google, and iOS software, including Square (invoicing & appointments), Google Play, Apple Store, Google Maps, and Google Voice.
  • Soft Skills: Excellent communication, customer service, and relationship-building skills, with the ability to work effectively in a team environment.
  • Organizational and Time Management Skills: Strong organizational and time management skills, with attention to detail, negotiation, assertiveness, flexibility, tact, and discretion.
