Access Philanthropy Operations Assistant Contract Position Access Philanthropy (AP) is a 24 year-old consulting firm serving a wide range of nonprofits, both in Minnesota and nationally. AP began as a donor prospecting and grant writing firm and has evolved into a full-service fundraising and organizational development firm. For more information, see https://accessphilanthropy.com/ Position Overview: The Operations Assistant is the backbone of AP’s operations by maintaining processes, communications, and related systems. The job ranges widely in duties and responsibilities and reports to the CEO. The position is remote. This is a contract position with no benefits; hours will vary from week to week, month to month. The hourly rate is $25-$35 depending on qualifications. Roles and Responsibilities Administrative Support

  • Administrator of AP’s Google Suite, and providing technical support for contractors.
  • Create and manage documents, forms, spreadsheets, and presentations using Google applications, and/or other tools.
  • Manage AP’s vendor list, including access and account information.
  • Support for senior leaders, contractors, on administrative matters.
  • Manage organizational activities.
  • Manage AP inquiries and promptly respond to inquiries.
  • Prepare annual governmental forms such as Professional Fundraiser Registration, annual business registration.
  • Organize, administer and attend meetings (as requested).
  • Perform other related duties as assigned.

Client Contract Management

  • Coordinate with team on new and current client tasks and communication.
  • Respond to new client inquiries and schedule 30-minute exploratory meetings.
  • Manage Client Service Agreements.
  • Manage Offer to Assist (OTA) and Contracting Process.
  • Manage client files on Google Drive.
  • Proactive manage supplemental documents used for client acquisition and retention.

Financial Support

  • Manage client files on Google Drive.
  • Send monthly timesheets to contractors; coordinate with payroll vendor
  • Manage/Monitor software subscriptions as needed.
  • Monitor contractor hours & project progress.

Marketing/Communications Support

  • Assist in the coordination and preparation of key documents for AP including newsletters, workshop “books”, and marketing materials.
  • Manage of email/listserv, website, and social media efforts and lists, as needed. Work with subcontractors if relevant.
  • Work with other AP resources to create, edit, and share social media content and blog posts that reflect our brand's voice. Work with subcontractors if relevant.

Website and Database Management

  • Manage AP Website, content, functionality, and performance, in collaboration with AP leadership and website vendor(s).
  • Monitor AP Database content, functionality, and performance, in collaboration with other AP resources and vendor

Qualifications

  • Required Education: Bachelor’s Degree or a combination of training/experience providing equivalent knowledge
  • Minimum of 2 years of related paid experience.
  • Experience with remote work
  • Strong computer skills and experience with Google-based drives and applications, and various software
  • Strong knowledge of various social media and website platforms, including LinkedIn.
  • Strong communication skills, including writing, grammar, proofreading, across a variety of mediums (e.g., social media, business correspondence, newsletter articles)
  • High ethical and professional standards
  • Highly organized and detail-oriented, with ability to work independently
  • Excellent interpersonal skills
  • Maintain confidentiality in all aspects of agency information
