About the Role

As a Patient Communications Representative, you will be responsible for making appointments, verifying insurance participation, and serving as a general information source for patients. You will work independently and as part of a team with little supervision, adding to the dynamic of our department and the company as a whole. Your primary responsibilities will include:

  • Answering phone calls before the third ring and providing a positive and friendly experience for patients, co-workers, and anyone who calls in to Panorama Eyecare
  • Verifying patient information and confirming insurance information, including vision plans and referral status
  • Obtaining and retaining knowledge of insurance company participation and requirements, including when an authorization is needed or when a referral is required
  • Registering patients correctly in the computer, providing consistency for patient listing and billing information, including name, DOB, address, phone number, email address, insurance, and few errors
  • Answering general questions for patients following established guidelines
  • Assisting with answering and triaging incoming telephone calls and routing them according to established guidelines using the provided triage guide
  • Putting patients first and stopping all non-work-related conversations when there are calls in the queue
  • Answering and screening telephone calls appropriately and giving non-medical instructions to patients in preparation for their visit to the office
  • Serving as primary appointment scheduler for all physicians and other resources in clinic, using the provided scheduling guide
  • Scheduling all in-office appointments
  • Maintaining awareness of schedule and problem-solving when needed
  • Answering questions regarding insurance billing and office financial policies
  • Assisting patients as needed
  • Providing the highest level of customer service to all patients
  • Assisting in maintaining work area
  • Ensuring confidentiality of medical records and patient information in accordance with HIPAA laws

Requirements

To be successful in this role, you will need to possess the following qualifications:

  • High school diploma or GED
  • Previous experience in a medical office setting preferred
  • Word processing/computer scheduling experience
  • Knowledge of typical office work environment
  • Previous customer service experience preferred
