Job Summary

We're looking for a highly motivated and organized Customer Service Representative to join our team. As a key member of our office operations team, you'll be responsible for providing exceptional customer service, managing office operations, and ensuring the smooth day-to-day functioning of our business. Responsibilities

As a Customer Service Representative at blithequark, you'll be responsible for the following key tasks:

  • Organize office operations and assist associates in ways that optimize procedures, ensuring seamless communication and collaboration across the team
  • Sort and distribute communications in a timely manner, ensuring that all stakeholders are informed and up-to-date
  • Create and update records, ensuring accuracy and validity of information, and maintaining confidentiality when necessary
  • Schedule and plan meetings and appointments, ensuring that all stakeholders are aware of upcoming events and deadlines
  • Monitor the level of supplies and handle shortages, ensuring that our team has the resources they need to deliver exceptional customer experiences
  • Resolve office-related malfunctions and respond to requests or issues, providing timely and effective solutions to our team and customers
  • Coordinate with other departments to ensure compliance with established policies, procedures, and protocols
  • Maintain trusting relationships with suppliers, customers, and colleagues, ensuring that our business is built on strong partnerships and relationships
  • Perform receptionist duties when needed, providing exceptional customer service and support to our clients

Preferred Skills

To be successful in this role, you'll need to possess the following skills and qualifications:

  • Proven experience as a back-office assistant, office assistant, or in another relevant administrative role
  • Knowledge of "back-office" computer systems, including experience with software applications and systems
  • Working knowledge of office equipment, including printers, copiers, and other essential tools
  • Thorough understanding of office management procedures, including experience with scheduling, record-keeping, and supply management
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  • Analytical abilities and aptitude in problem-solving, with the ability to think critically and creatively
  • Excellent written and verbal communication skills, with the ability to communicate effectively with stakeholders at all levels
  • Proficiency in MS Office, including Word, Excel, and Outlook
  • Knowledge of QuickBooks and Excel, with experience in financial management and reporting
