Job Summary

We're seeking a highly skilled and experienced Virtual Assistant to join our remote team on a 90-day contract basis, with the potential to become a long-term full-time role. As a Virtual Assistant, you'll play a critical role in improving our AI-powered customer support system, including editing and expanding automated responses in Tawk AI and Apollo, uploading relevant forms, and working with managers to ensure every response is revised for the best possible answer.

Responsibilities

As a Virtual Assistant, you'll be responsible for the following key tasks:

  • Improving AI-powered customer support system: Log into Tawk AI and Apollo to access and edit the back-end chat system, review months of past customer chats and AI responses, and improve weak responses by rewriting, expanding, or clarifying where needed.
  • Content creation and editing: Add new answers for unaddressed topics, upload forms and documents that customers need during specific inquiries, and focus on step-by-step, process-based responses (e.g., how to register a vehicle, where to mail checks, how to avoid form mistakes).
  • Content updates: Update content related to recent policies (like residency legislation) and use the Tawk AI improvement dashboard – not the public chat box.
  • Communication and collaboration: Communicate with managers daily in Asana to confirm updates and align priorities, and work collaboratively with the team to ensure seamless execution of tasks.

Ideal Candidate

We're looking for an exceptional candidate who possesses the following skills and qualifications:

  • Excellent written English: Clear, friendly, and process-driven writing skills are essential for this role.
  • Experience with chat platforms: Familiarity with chat platforms (Tawk.to, Apollo, Intercom, Zendesk, etc.) is a must.
  • Content editing and uploading: Experience with editing chatbot content and uploading documents/forms is required.
  • Fast learner: A fast learner who's confident using SaaS tools or dashboards is essential for this role.
  • Strong communication and attention to detail: Excellent communication and attention to detail are critical for success in this position.
  • Independent work style: Ability to work independently but stay highly responsive throughout the day is required.
  • Previous remote work experience: Previous success working remotely in a U.S.-based role is a plus.

Schedule

The ideal candidate will be available to work Monday through Friday, 9:00 AM – 5:00 PM Mountain Time.
