As we continue to expand at an incredible pace, we're seeking an experienced Customer Service Representative – Office Manager to join our team. This dynamic individual will be responsible for providing exceptional customer service, managing administrative tasks, and supporting the overall efficiency of our office operations.

Job Summary

As a Customer Service Representative – Office Manager, you will be the face of arenaflex, providing a warm and welcoming experience for our visitors, clients, and colleagues. Your main duties will include:

  • Welcoming and directing visitors, ensuring a positive first impression of our company
  • Coordinating meetings and appointments for upper management, ensuring seamless communication and organization
  • Performing a range of clerical tasks, including answering phones, responding to emails, and managing correspondence
  • Managing agendas, travel plans, and appointments for upper management, demonstrating exceptional organizational skills
  • Supporting bookkeeping and budgeting procedures, ensuring accurate financial records and data management
  • Creating and updating databases and records for financial information, personnel, and other data, showcasing attention to detail and analytical skills
  • Tracking and replacing office supplies as necessary, maintaining a well-stocked and efficient front office environment
  • Submitting reports and preparing proposals and presentations as needed, demonstrating effective communication and presentation skills
  • Assisting colleagues whenever possible, fostering a collaborative and supportive team environment

Key Responsibilities

* Coordinate activities throughout the company to ensure efficiency and maintain compliance with company policy

  • Supervise members of the administrative staff, equally dividing responsibilities to improve performance
  • Manage emails, letters, packages, phone calls, and other forms of correspondence
  • Support bookkeeping and budgeting procedures for the company
  • Create and update databases and records for financial information, personnel, and other data
  • Track and replace office supplies as necessary to avoid interruptions in standard front office procedures
  • Submit reports and prepare proposals and presentations as needed
  • Assist colleagues whenever there is an opportunity to do so

Essential Qualifications

* High school diploma or equivalent required

  • At least two years of progressively responsible clerical experience required
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills, with a proven ability to meet deadlines
  • Ability to prioritize tasks and to delegate them when appropriate
  • Ability to function well in a high-paced work environment
  • Basic understanding of how to operate standard business equipment

Preferred Skills

* Experience in a customer-facing role, with a proven track record of providing exceptional customer service

  • Proficiency in Microsoft Office, particularly Excel, Word, and Outlook
  • Experience with database management and data analysis
  • Strong problem-solving and analytical skills
  • Ability to work in a fast-paced environment with multiple priorities and deadlines
  • Experience in a supervisory or leadership role, with a proven ability to motivate and guide a team
