[Remote] Sales Operations Specialist

They are seeking a motivated Sales Operations Specialist to ensure smooth execution of the order lifecycle by managing processes from quote to cash and supporting contract workflows.

Responsibilities

  • Manage the end-to-end order process, including order entry, validation, and submission to ensure accurate and timely fulfillment
  • Review sales orders for completeness, pricing accuracy, and compliance with approved terms and policies
  • Coordinate with Finance, Operations, and Logistics to ensure seamless order processing, invoicing, and delivery
  • Resolve order discrepancies, billing issues, and fulfillment delays with urgency and attention to detail
  • Monitor order status and proactively communicate updates to internal stakeholders and sales teams
  • Facilitate the review and processing of customer contracts, quotes, and sales agreements
  • Partner with Legal and Sales teams to route, track, and manage contract approvals and revisions
  • Ensure all deal terms (pricing, discounts, terms & conditions) align with company policies and approval frameworks
  • Support contract lifecycle management, including renewals, amendments, and documentation storage
  • Act as a central coordinator to move deals efficiently through internal approval workflows
  • Support sales teams with quote generation, deal structuring, and order submission processes
  • Maintain and enforce standardized workflows for quoting, contracting, and order processing
  • Serve as a point of contact for sales team inquiries related to orders, contracts, and operational processes
  • Assist in onboarding and training sales reps on tools, policies, and order/contract procedures
  • Identify process gaps and recommend improvements to enhance speed, accuracy, and customer experience
  • Perform other job-related duties assigned from time to time, within your scope of practice

Skills

  • Bachelor's degree required; Business, Operations, Finance, Supply Chain, or related field preferred
  • 1–4+ years of experience in sales operations, order management, contracts administration, customer operations, or related commercial support roles
  • Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously
  • Experience with HubSpot or similar CRM tools, and Priority or similar ERP tools
  • Excellent written and verbal communication skills
  • High attention to detail and problem-solving ability
  • Ability to work cross-functionally with internal stakeholders at multiple organizational levels
  • Advanced proficiency in Microsoft Excel and other Microsoft Office applications
  • Strong process orientation and operational mindset
  • Ability to handle sensitive commercial and contractual information confidentially
  • Experience supporting contract lifecycle management and legal review workflows
  • Ability to identify process improvement opportunities and drive operational efficiencies
  • Customer-focused approach with strong interpersonal skills
  • Demonstrated ability to build rapport with clinical and administrative stakeholders
  • Familiarity with hospital procurement processes
  • Understanding of regulatory considerations for healthcare and medical devices
  • Willingness and ability to travel up to 15% for company/team meetings and/or field rides
  • Valid driver's license required
  • Experience supporting a medical device, healthcare, or other regulated commercial environments preferred
