Job Summary

We're seeking an Experienced Full Stack Virtual Assistant to provide high-level support to our senior leaders and teams. As a key member of our remote team, you'll be responsible for managing complex schedules, coordinating travel arrangements, and handling confidential information with the utmost care. Your exceptional organizational skills, attention to detail, and ability to work effectively in a team environment will make you an invaluable asset to our organization.

Key Responsibilities

As an Experienced Full Stack Virtual Assistant, you'll be responsible for the following key tasks:

  • Managing complex schedules, meeting invites, and conference room operations
  • Coordinating global and domestic travel arrangements
  • Handling cost reports and expense tracking
  • Overseeing large-scale event planning, including catering, facilities, and materials
  • Arranging office space and working with relocation teams
  • Creating a positive work environment, recognizing outstanding efforts, and promoting team morale
  • Attending key meetings, following up on action items, and circulating updates to stakeholders
  • Driving team-building activities, such as staff meeting plans, group-building events, and recognition programs
  • Managing work processes that require approvals and endorsements
  • Identifying innovative solutions to internal and external challenges

A Day in the Life

As an Experienced Full Stack Virtual Assistant, every day will be unique, but you can expect to spend your time:

  • Managing a high volume of emails and correspondence
  • Collaborating with other virtual assistants to plan complex meetings and events
  • Working closely with leaders and their teams on projects and initiatives
  • Providing exceptional support to our senior leaders and teams

About the Team

The Promoter Experience (Hatchet) team at arenaflex is dedicated to building global marketing experiences that enable Amazon Advertisements to become a preferred partner for any advertiser. We serve a large number of external and internal clients, including advertisers and manufacturers, and are committed to delivering exceptional results.

Essential Capabilities

To be successful in this role, you'll need:

  • 2+ years of senior-level administrative support experience or 1+ years of experience working at Amazon
  • High school diploma or equivalent
  • Experience with Microsoft Office applications and tools
  • Experience with leader-level scheduling and calendar management

Preferred Capabilities

While not essential, the following skills and experience would be highly desirable:

  • Experience working in a fast-paced, cutting-edge organization
  • Experience managing multiple schedules and priorities
  • Strong problem-solving and analytical skills
  • Excellent written and verbal communication skills
